Today Crewtide works with Excel through files: you import an .xlsx or .csv customer list (one row per customer, with cycle, usual days, window and time on site), build the week in Crewtide with route optimization, then print or export route sheets and change lists. There’s nothing to install and no add-in.
How to move your Excel schedule into Crewtide
- Start from one row per customer. If your sheet has one tab per week, copy the customer details into a single master tab first. The free recurring schedule template has the layout.
- Add the rules Crewtide plans around.Visit cycle (weekly, every 2 weeks, monthly…), usual days, service window, no-go times, time on site and crew size. Leave a column blank if it doesn’t apply.
- Import the file.In Crewtide, import customers from a spreadsheet and check that each column matched the right field.
- Build next week.Crewtide generates the due visits and places them on routes; live checks flag anything that doesn’t fit.
- Export.Publish the week and print or export route sheets, and export the change list when you need to update another system.
Column mapping
| Your column | Crewtide field | Example |
|---|---|---|
| Customer / Account | Customer name | Harbor Grill |
| Address, City, State, ZIP | Service address | 412 Front St, Anytown |
| Frequency / Cycle | Visit cycle | Every 2 weeks |
| Day | Usual days | Tue, Wed |
| Window / Hours | Service window | 6:00–10:00 AM |
| Do not service | No-go times | Fri; 12:00–1:00 PM |
| Duration | Time on site (per crew size) | 2 crew 90 min |
| Tech | Usual technician | Marcus Lee |
If your sheet only marks which week a customer is due (an “A/B” column or a week number), keep it: it tells Crewtide where every-other-week customers start. See biweekly and monthly schedules.
After you publish the week
- Route sheets print or export for each technician, with stops in order and times.
- The change list shows every edit with its reason, so you can update the system the business runs on.
- The To notify list shows each customer whose visit moved, with the old time and the new one.
What Excel still does well
Excel is a fine master list, a quick place for one-off notes and the format every other system can read. Many teams keep their customer sheet as the source and re-import when it changes; others maintain customers in Crewtide and export when they need a sheet. Either works.
